Colleagues,

On behalf of the Board of Directors, it gives me great pleasure to invite you to submit an abstract for presentation at ACIPC 2020 in Sydney.

ACIPC 2020 promises a wealth of interest as we tackle the challenges and embrace the opportunities for the future of our profession. Held at the International Convention Centre, Sydney, ACIPC 2020 will broker new dimensions and frontiers in education, research and practice in infection prevention and control. And where better to do so than in Sydney, Australia’s global city.
Submissions are invited for the following presentation types

• Oral Presentation: 18 minutes, including 3 minutes question time. Presentations should be scientific in nature and may be original research, case presentations, divisional projects or analytical studies.

• Poster Presentation: Poster presentations will be displayed for the duration of the conference in A0 size, portrait orientation. Posters can present research in progress, case presentations, divisional projects, clinical topics, quality improvement initiatives, case studies.

• Lightning Talks: These are 5-minute presentations in which participants speak about their ideas, current activities, challenges and professional passions. The goal is to enlighten the audience on a subject, creating awareness, thought, and generating action on the subjects presented.

PRESENTATION FORMATS

IMPORTANT: Should your research refer to medical devices, please note that your abstract and poster/presentation must comply with the Medical Technology Industry Code of Practice Guidelines.

Oral Presentation

18 minutes presentation (including 3 minutes question time).

Oral presentations should be scientific in nature and may be original research, case presentations, divisional projects or analytical studies.

Where possible, presentations with a similar theme will be grouped together.

Lightning Talk

These are 5-minute presentations in which participants speak about their ideas, current activities, challenges and professional passions. The goal is to enlighten the audience on a subject, creating awareness, thought, and generating action on the subjects presented.

Poster Presentation

Poster presentations will be displayed for the duration of the conference in the poster display area in A0 size, portrait orientation.

Posters can present research in progress, case presentations, divisional projects, clinical topics, quality improvement initiatives, case studies.

A dedicated poster viewing reception will be hosted during the conference. Poster presenters are encouraged to stand near their Poster presentation during the reception. This will allow presenters the opportunity to talk with delegates about their poster and answer questions regarding their work.

Presenters may bring their own laptop if they wish to provide a live demonstration as part of their poster.

PREPARING YOUR SUBMISSION

Scientific Papers

For Oral and Poster submissions addressing topics which are scientific in nature, or presenting research findings.

Authors should:

Use the below word template to write your abstract, then copy and paste into the submission portal
Format abstracts as Introduction, Methods, Results and Conclusion
Leave one line between paragraphs
Specify all abbreviations in full at the first mention, followed by the abbreviation in parentheses, thereafter abbreviation only should be used
Abstracts need to be written in English
Check abstract thoroughly for spelling and grammar
Do not include references

Case Studies and Quality Improvement

For Lightning Talk and Poster submissions which are case studies, focus on quality improvement initiatives, or solving a problem.

Authors should:

Use the below word template to write your abstract, then copy and paste into the submission portal
Format abstracts as Background (Problem statement and project aim), Method or Actions (What did you do?), Results (What happened as a result? Include patient outcomes if relevant), Conclusion (Implications/Learnings)
Leave one line between paragraphs

Disclosure of Interest statement

The Australasian College for Infection Prevention and Control (ACIPC) recognises the considerable contribution that industry partners make to professional and research activities. We also recognise the need for transparency of disclosure of potential conflicts of interest by acknowledging these relationships in publications and presentations.

For an example of a disclosure of interest statement please see below:

The Melon Institute and Metabolism Corp are funded by the University of Oxbridge, UK. No pharmaceutical grants were received in the development of this study.

Note: If accepted into the program you will be requested to include a disclosure of interest slide into your presentation or include such statements in your poster.

Abstract selection process and notification

Abstracts will be reviewed & selected using pre-defined selection criteria
A program build meeting is held to identify top ranking papers that fit into sessions on similar topics
Unsuccessful abstracts submitted for oral presentation will be offered a poster presentation if selection criteria are met
No correspondence will be entered into with the committee or conference secretariat on why individual papers did not get an oral presentation
Abstract authors will be notified of acceptance/rejection of abstract via email in mid-August 2020. All presenters (oral, poster, lightning talk) are then required to confirm their participation in the conference via return email

Abstract publication in Infection, Disease and Health

Only accepted scientific papers using the Introduction, Methods, Results, Conclusion format will be published in a special online edition of Infection, Disease and Health, the official journal of the Australasian College for Infection Prevention and Control (ACIPC).

The journal aims to be a platform for the publication and dissemination of knowledge in the area of infection and disease-causing infection in humans. The journal is quarterly and publishes research, reviews, concise communications, commentary and other articles concerned with infection and disease affecting the health of an individual, organisation or population.

The original and important articles in the journal investigate, report or discuss infection prevention and control; clinical, social, epidemiological or public health aspects of infectious disease; health economics, policy and planning for the control of infections; zoonoses; and food hygiene and vaccines related to disease in human health.

The audience of the journal includes researchers, clinicians, health workers and public policy professionals concerned with infection, disease and health.

Confirming your presentation

You are required to confirm your intention to present your ePoster and Lightning Talk by 30 August 2019. If you have not confirmed your intention to present your ePoster presentation by 30 August 2019 your ePoster will be withdrawn from the Conference program.

All presenters are required to be registered to attend the ACIPC 2019 Conference. Please register through the online registration system by Friday 4 October 2019 to confirm your place in the program.

Preparing for your Oral Presentation

Confirming your presentation

You are required to confirm your intention to present your selected oral presentation by 31 August 2020. If you have not confirmed your intention to present your oral presentation by 31 August 2020 your presentation will be withdrawn from the Conference program

Speaker registration

All speakers are required to be registered to attend the 2020 ACIPC Conference. Please register through the delegate portal by Friday 2 October 2020.

Speaker biography

A brief biography of no more than 100 words is to be provided via the on-line abstract submission portal. Biographies may include presenter’s positions, career details and major work achievements to date. Biographies should be written in third person. Your biography will be used when introducing you as a speaker at the conference.

AV Requirements

Please provide any specific audio visual requirements to the Conference Secretariat at mail@conferencedesign.com.au. Your presentation should be created and presented in PowerPoint. Each meeting room will be equipped with data projection facilities, lectern, microphone and a laser pointer.
An audio-visual operator in the room will control the presentation, lights and audio and will be able to assist you with any questions. Please ensure you take the time to familiarise yourself with the technology prior to your presentation.
Please ensure your presentation is brought to the conference on a USB Stick for uploading.

PowerPoint Presentation Tips

• All text should be in PowerPoint, preferably in light text on dark background
• PowerPoint should be in 16:9 aspect ratio
• There should be no more than 5 x 1-line bullet points per slide
• Optimum title text is 45 – 55 points and no smaller than 36 points
• Body text should be at least 26 points
• Avoid UPPERCASE letters as they are hard to read
• Please keep to the time limit of your presentation

Preparing for your Lightning Talk

Confirming your presentation

You are required to confirm your intention to present your Lightning Talk by 31 August 2020. If you have not confirmed your intention to present your Lightning Talk by 31 August 2020 your Lightning Talk will be withdrawn from the Conference program.

All presenters are required to be registered to attend the 2020 ACIPC Conference. Please register through the online registration system by Friday 2 October 2020 to confirm your place in the program.

At the conference

Speaker’s Preparation Room

Please proceed to the Speaker’s Preparation room at least 4 hours prior to or the day before your presentation. A technician will be available in the speaker’s preparation room to load your presentation and to discuss any audio-visual queries you may have. You will also have the opportunity to practice your presentation. If you are not providing slides for your presentation, please advise the AV technician in the Speaker’s Preparation room 4 hours prior to your session.

Publication of Presentation Slides

The conference will seek your consent to post your presentation slides to the conference website following the event, you will receive an email following the conference with a link which will allow you indicate your consent online.

Cancellations and substitutions

Please avoid late cancellations or substitutions as marketing material including the conference program with the speaker’s name and organisation will be pre-printed and cannot be removed at a later date. If you need to cancel or substitute speakers please inform Conference Design at mail@conferencedesign.com.au as early as possible.

Poster Presentations

Each display panel will be identified by number so that you are able to find the area corresponding to your poster. If you have any questions on the day please make your way to the conference registration desk.

Your poster location can also be found on the conference App.

Prizes and Awards

Prizes will be awarded in the following categories

Best Oral Presentation: The winner as judged by an appointed panel will be awarded the Elaine Graham Robertson award comprising a plaque and cheque to the value of $500.

Best Poster or ePoster Award: There will be two best poster prizes awarded at the conference; one judged by an appointed panel and one delegates choice. Both winners will be announced at the Gala Dinner and Awards Night.

How to Submit

Abstracts must be submitted electronically through the submission portal. You will be required to enter:

The title of your abstract
Preferred presentation type
A theme most suitable to your abstract
Authors’ names (indicate presenting author), affiliations, and biography (up to 150 words – presenting author/s only).
Abstract (maximum 250 words)
- Set out as Introduction, Methods, Results and Conclusion format.
- Leave one line between paragraphs.
- Specify all abbreviations in full at the first mention, followed by the abbreviation in parentheses, thereafter abbreviation only should be used.
- If easier users can copy and paste an abstract and biography from a word processing doc directly into the submission portal.
- Abstracts need to be written in English.
- Check abstract thoroughly for spelling and grammar.
- Do not include references.
- Any conflicts of interest(s).

Authors:

Please complete all author details requested in the on-line portal. Note the submitting author will be considered the principle point of contact for all communication regarding the abstract including acceptance notification.
By submitting an abstract all authors agree to release the content to the Conference organisers and give permission to publish the abstract in the conference publications and on the website, and in so doing certify that the abstract is an original work.

Review Process

Peer reviewed oral presentations
All abstracts are subject to a double blind review, undertaken by at least two reviewers. Reviewers’ recommendations and scores will then be assessed by the Conference Scientific Organisation Committee. All accepted abstracts will be published in a special online edition of Infection, Disease and Health.

Peer reviewed poster presentation & lightning talks

All abstracts are subject to a double-blind review, undertaken by at least two reviewers. Reviewers’ recommendations and scores will then be assessed by the Scientific Conference Organising Committee. Accepted posters will be displayed in a dedicated area.

Only accepted scientific papers using the Introduction, Methods, Results, Conclusion format will be published in a special online edition of Infection, Disease and Health.

The conference app will contain a pdf of posters, when they are supplied as requested by the conference manager.

Presenter Registration

Abstract presenters will be required to fund their own attendance at the conference and should not submit an abstract if this is not possible. Please refer to the scholarship section of the website (coming soon) to see if you are eligible to apply.

All presenters (including posters and ePosters) will be required to register for the conference by the early-bird closing date. It will be assumed that any presenter not registered by this date has withdrawn from the program and their abstract will be removed from conference publications.

Selection criteria

Abstracts will be favoured at review if they incorporate original data of high quality and/or an analysis that extends existing knowledge.

In balancing the program the committee may require authors to present their work in an alternate format (eg as a poster rather than oral presentation) particularly as limited spots are available for oral presentations.
