Online Session Chair | Guidelines

Thank you for chairing a session at the 2021 ACIPC Conference

The following guidelines and resources are designed to assist with your preparation and participation in your session.

Oral presentations will consist of a 15 minute pre-recorded presentation, followed by 3 minutes live facilitated Q&A with the presenter. Generally, sessions will include 3 or 4 oral presentations grouped together.

Short Oral presentations will consist of a 7 minute pre-recorded presentation, followed by 3 minutes live facilitated Q&A with the presenter. Generally, sessions will include 5 short oral presentations grouped together.

HOW THE SESSIONS WILL RUN – ORAL & SHORT ORAL PRESENTATIONS

Please join your session 30 minutes prior to the commencement time to meet with your session host and the presenters in your session. Your session host will run through the sequence of proceedings for your session and conduct a technology check with you and the presenters prior to the session going live promptly at the programmed time.

To ensure the program keeps to time, please limit Q&A to 3 minutes per speaker. 

Opening the session:

  • Welcome delegates to the session and introduce the first presentation with the presentation title, presenter name and short biography.
  • Remind delegates to put any questions they have for the presenters in the Live Q&A box to the right of their screen.
  • Your session host will then play the first pre-recorded presentation.

During the session:

  • At the conclusion of each presentation, the session host will push you and the presenter to the main stage where you will facilitate the live Q&A discussion. It is a good idea to have a question or two of your own in case there are none forth coming from the audience.
  • To ensure the program keeps to time, please limit Q&A to 3 minutes per speaker.
  • Following Q&A, please introduce the next speaker with their presentation title, presenter name and a short biography.
  • Your session host will then play the next pre-recorded presentation.

Closing the session:

  • At the top of your screen you will see a countdown clock which will assist you in knowing when the session is due to end.
  • We recommend wrapping up the final presenter Q&A when there is roughly one minute left on the clock. This will allow enough time for you and the presenter to finish your discussion, and make closing remarks and thanks.
  • Once the countdown clock has finished the session will no longer be live and your session host will end the broadcast.
  • At the conclusion of the session, chairs and presenters can leave the Zoom meeting and log into the OnAIR conference platform to participate in other conference activities as a delegate.

Please note: your session host will be in charge of playing the pre-recorded videos and pushing you to and from the main stage for introductions. 

Q&A:

  • Please log into the Live Q&A portal for questions from the audience. You will be provided an auto login link to the portal prior to the conference.
  • When in the portal, from the drop-down list, select your session.
  • As questions are entered by delegates, they will appear in the “Current Questions” feed.
  • If accessing the Live Q&A portal from your PC or Laptop, you will have the ability to star favourite questions and tick questions as they are answered.
  • If accessing the portal from your mobile device, you will only have the ability to see the questions.
