What does an online exhibition look like?

For the 2020 ACIPC Conference Community, we will be using a platform called OnAIR by EventsAIR.

Just like a traditional exhibition at a face to face meeting, attendees can visit the online exhibition hall and engage with exhibitors. Attendees can view exhibitor information, download brochures and engage in instant meetings with exhibitors.

OnAIR is a fully integrated and secure platform optimised for fully online events as well as hybrid events.

What do I need to participate?

In order to participate as an online exhibitor at the conference and make the most of the exhibition opportunities available, each of your exhibiting staff members will need access to a device (laptop or a desktop computer are recommended), a stable internet (a wired connection is best), a webcam/camera and a microphone.

For the best user experience, we recommend using a laptop or desktop and Google Chrome 2010+.

Online exhibitor inclusions

  • Promotional Video/s linked to the online conference portal.*
  • Brochure/s and flyer/s available for download from the online conference portal.*
  • Company profile on the online conference portal.*
  • Full online conference registrations.*
  • Online Exhibition Booth featured in the Exhibition Lounge.
  • Access to the online Networking Hub to connect with all delegates and request meetings (includes live video and text chat)

*Please refer to the sponsorship prospectus for profile word count, and the number of videos, brochures/flyers, and registrations included with your package.

How will the packages be listed in the portal?

Sponsors and exhibitors will be listed in the portal in order of sponsorship level followed by alphabetical order.

When will the exhibition be open?

Please refer to the community events page regarding exhibition opening times for each event.

Outside of exhibition opening hours, delegates are still able to visit your stand to view your brochures and videos, and can connect with your representatives via the Networking Hub.

All representatives must be registered in order to access the Conference portal.

Anyone from your Organisation attending the conference must register with Conference Design before the conference.

Individual conference registrations will be required to access the online meeting and exhibition areas. Please check your sponsorship or exhibition inclusions to confirm the number of inclusive registrations available.

Additional registrations can also be purchased which includes access to the community events and networking sessions.

Your contact person

When booking please appoint a single point of contact within your Organisation.

All bookings will be recorded under the one name and all correspondence will be sent to this person.

Your logo should be a high-resolution JPEG/JPG image, no less than 250 KB in size. PNG or TIFF also acceptable.

Logos will be displayed on the ACIPC and Conference Community websites and other materials in-line with your sponsorship benefits.

Logos will be resized to the required specifications for each platform. Logos will be displayed in the online event portal and attendee app in a square or horizontal format. Stacked logos are not recommended to ensure optimal fit on all display platforms.

Optimal logo size for the online platform is 500px X 175px

Upload during the exhibition/sponsorship booking process or email to Nikia Shaw. The earlier we receive your logo the longer exposure your organisation will receive.

  • Platinum Sponsors: 300 words
  • Gold Sponsors: 200 words
  • Silver, Bronze and Online Event Sponsors: 150 words

This information will be displayed on the ACIPC and Conference Community websites and other materials in-line with your sponsorship benefits. This is an opportunity to give visitors an overview of your organisation. Be sure to include contact details for enquiries (contact details are not included in the below word limits).

Your document may be a simple PDF flyer or brochure for delegates to download or it may be a weblink to an online advertisement, a complimentary or discounted registration to an online webinar or workshop, a voucher to an online shop, a job opening, the list goes on.

We encourage you to be unique and creative with your content!

  • Platinum Sponsors: Up to 3 flyers/brochures
  • Gold Sponsors: Up to 2 flyers/brochures
  • Silver, Bronze and Online Event Sponsors: Up to 1 flyer/brochure

PDF Flyers will be displayed on the ACIPC and Conference Community websites and other materials in-line with your sponsorship benefits.

Flyers/brochures can be PDF documents or hyperlinks. We recommend the following for PDF documents:

  • High resolution, colour PDF
  • A4 portrait orientation, 210mm x 297mm
  • Maximum size of 4 pages
  • No bleed and no crop marks
  • PDFs will be uploaded as ‘as received’

Promotional videos will be linked to your exhibition listing, we recommend sending through a Youtube and/or Vimeo link.

  • Platinum Sponsors: 3 videos
  • Gold Sponsors: 2 videos
  • Silver Sponsors: 1 videos

Eligible sponsors will have their video/s displayed on the ACIPC and Conference Community websites and other materials in-line with sponsorship benefits.

If your company video is available online via Vimeo or YouTube, please upload the hyperlink to the Sponsor Portal. If your video is a digital file (such as an MP4 or AVI file), please email it to We will convert the video to a Vimeo file for uploading to the ACIPC website and other resources as required.

Note, if we are converting your video to a Vimeo file we will place viewing and sharing restrictions on the file so it can only be viewed at locations relevant to your ACIPC sponsorship package.

As a guide promotional videos should be no more than 5 minutes in duration.
